Management and screening of incoming and outgoing calls
Provide basic and accurate information in-person and via phone/email
Greet and welcome guests as soon as they arrive at the office
Update calendars, booking of boardrooms and schedule meetings
Direct visitors to the appropriate person or boardroom
Receiving and distribution of documentation and or drawings
Receive, sort and distribute daily mail/deliveries
Couriering documents through DHL as directed
Assist Office Manager with booking travel and accommodation for staff.
Ensure reception area is tidy and presentable at all times
Type 45 words per minute with speed and accuracy.
Accurate typing, editing and formatting of admin documentation
Typing of project minutes and defects lists
Management of the library operations and its functions
Assist the Creditor’s Clerk in ordering office groceries and stationery
Providing administrative support and assistance to Project Leaders on a day-to-day basis;
Preparing finishing schedules
General office administration
Office Administration Certificate / Diploma OR Proven work experience as a Receptionist, Secretary, Front Office Representative or similar role.
2-5 years of experience as a Receptionist/ Junior Secretary
Proficiency in Microsoft Office Suite
Office Administration skills
Excellent English Communication & Interpersonal Skills
Solid written and verbal communication skills
Multitasking and time-management skills, with the ability to prioritize tasks
